Team & Workspace
Gilito AI organizes everything around workspaces. A workspace is the shared environment where your team accesses signals, portfolios, agents, and settings. Every Gilito AI account belongs to at least one workspace.
What is a Workspace?
A workspace is the top-level organizational unit in Gilito AI. It contains all your data — watchlists, portfolios, agents, strategy results, and settings. When you sign up for Gilito AI, a workspace is automatically created for you, and you become its super-admin (owner).
All team members within a workspace share the same plan, data, and resources. The workspace's subscription plan determines the limits for the entire team — not per user.
User Roles
Gilito AI uses a three-tier role system to control what each team member can do within a workspace:
Super-Admin (Owner)
The super-admin is the workspace owner — the person who created the workspace. There is exactly one super-admin per workspace. The super-admin has full control over everything:
- Full access to all features, data, and settings
- Manage subscription and billing
- Invite and remove team members
- Assign and change user roles
- Create and revoke API keys
- Delete the workspace
Account-Admin
Account-admins are trusted team members who can manage most workspace settings. They have the same access as super-admins, except they cannot delete the workspace or change the super-admin role:
- Full access to all features and data
- Manage subscription and billing
- Invite and remove team members
- Assign roles (except promoting to super-admin)
- Create and revoke API keys
User (Standard)
Standard users have access to all core research features but cannot manage workspace settings, billing, or team membership:
- Access signals, strategy results, rankings, and all research data
- Create and manage watchlists, portfolios, and agents
- View the weekly digest and personal notifications
- Cannot manage billing, subscription, or team settings
- Cannot create or revoke API keys
- Cannot invite or remove team members

*Account-admins can assign user and account-admin roles, but cannot promote anyone to super-admin.
Inviting Team Members
To invite a new team member to your workspace:
- Go to Settings > Team in your dashboard.
- Click Invite Member.
- Enter the email address of the person you want to invite and select their role (account-admin or user).
- Click Send Invite. The invitee receives an email with a link to join your workspace.
The invited person will receive an email with a link to accept the invitation. If they already have a Gilito AI account, they will be added to your workspace. If they are new, they will create an account and be automatically added.
Managing Roles and Permissions
To change a team member's role:
- Go to Settings > Team in your dashboard.
- Find the team member in the members list.
- Click the role dropdown next to their name and select the new role.
- Confirm the change.
Role changes take effect immediately. The affected user will see their updated permissions the next time they load the dashboard. Only super-admins and account-admins can change roles. The super-admin role cannot be transferred or assigned through this interface — it is always tied to the workspace creator.
Seat Limits by Plan
Each plan has a maximum number of seats (team members) that can belong to a workspace:
If you need more seats than your current plan allows, you will need to upgrade. Pending invitations also count toward your seat limit — so if you have sent an invite that has not been accepted yet, it still occupies a seat slot.
Removing Team Members
To remove a team member from your workspace:
- Go to Settings > Team in your dashboard.
- Find the team member you want to remove.
- Click the Remove button (or the three-dot menu and select Remove from workspace).
- Confirm the removal.
Removing a member immediately revokes their access to the workspace. They will no longer be able to view any workspace data. Their personal Gilito AI account is not deleted — they simply lose access to your workspace. Any data they created (agents, portfolios, etc.) remains in the workspace.
